Here is a sample email if you've gotten funding from the department for lunch:

Subject: QUAL PREP WORKSHOP (Sponsored by the Galois Group)

Hi all,

The Galois Group is running a qualifying exam workshop on [date] at [time] in [room]. The workshop is aimed at students currently preparing for their qualifying exams (i.e. planning on taking the qual sometime between now and next fall). The first half of the workshop will feature staff and faculty members explaining the department/faculty expectations for the qualifying exam, and you will have the opportunity to ask them questions. We will then take a break for lunch (lunch is provided!!) before splitting up between pure/applied for the second half of the workshop. This second part will feature a panel with older graduate students who have already taken their qual. We will have some example syllabi and proposals, and will also create space for you to discuss your qual preparation with other students who will be taking their qualifying exam at a similar time. Bring any and all qual related questions!

Note that we will also provide a zoom link for the first half of the workshop in case you are interested in learning more about the qualifying exam, but will not be taking it for another year.

Schedule: [Start Time]-[End Time] GGAM and GPC Student Reps: handouts, basic Quals info [Start Time]-[End Time] [staff member] will discuss staff support for students [Start Time]-[End Time] Pure Math and GGAM faculty will discuss their view on the qualifying exam and will happily address all student questions

Come hear the GGAM and GPC Graduate Student Representatives discuss the purpose of the exam with specific advice regarding studying, scheduling, and stress management.

Come hear the Student Advising Assistant, Perry Gee, discuss his role in assisting students with the administrative elements involved.

Come hear GGAM and Math Dept faculty members share useful advice on everything from choosing a committee to writing an exam syllabus.
